DOMOKOS • NEAGU • SÂRBU is looking for an Office Manager within our Law Firm.
RESPONSIBILITIES
Office Management
– manage and coordinate all activities within the firm’s office;
– create and implement office policies;
– monitor office personnel and maintain order and discipline among the staff;
– ensure the order and cleanliness of the office premises.
Personnel Administration
– prepare the monthly work schedule and manage vacation requests;
– collaborate with the human resources department to create policies and procedures for recruiting, counseling, and training staff.
Office Equipment and Supplies
– manage office equipment and arrange service and maintenance contracts;
– place orders and receive invoices for utilities, office supplies, and consumables;
– forecast the acquisition of various materials.
Correspondence and Communication
– prepare and send correspondence on behalf of the firm;
– answer and direct phone calls;
– ensure the transmission of documents via mail, fax, and email;
– receive visitors and notify the relevant contact persons within the firm.
Expense Management
– centralize information regarding office expenses.
QUALIFICATIONS
– proven experience as an Office Manager or in a similar administrative role;
– excellent organizational and multitasking abilities;
– strong communication and interpersonal skills;
– proficiency in office management software (e.g., MS Office);
– attention to detail and problem-solving skills;
– ability to work independently and handle confidential information;
– experience in a law firm or legal environment is a plus.
